Practice Management on Embodia - Part 3: Billing
On Embodia, gift certificates are packages paid for by one patient (the purchaser), and redeemed by another patient (the redeemer).
Enabling gift certificates for your clinic
Enabling gift certificates for your clinic requires a Manager permission.
To enable gift certificates for your clinic, go to My clinic > Billing settings > General settings:
In the billing settings page, check the Enable gift certificates checkbox and then click on Update settings.
Purchasing a gift certificate
Purchasing a gift certificate requires a "Managing patient invoices permission" on your account and the gift certificate feature enabled for your clinic. You can check with the clinic manager to see if you have such permission.
To purchase a gift certificate, start by adding a patient (the purchaser) to your account. Once added, navigate to their profile and then click on Billing > Packages & memberships > Gift certificates:
Click on Purchase a gift certificate and then select the desired package from the drop-down in the popup form. The default values from the package will pre-populate, but you can override them if you choose. Then click Submit.
This will assign the gift certificate to the patient (the purchaser) and will redirect you to the gift certificate page. On the gift certificate page, you can see the gift certificate details. You can also manage the billing for the gift certificate by either entering the patient payment information or sending instructions to the purchaser via email to securely complete the purchase directly on Embodia.
Redeeming a gift certificate
Redeeming a gift certificate requires a "Managing patient invoices permission" on your account. You can check with the clinic manager to see if you have such permission.
When you redeem a gift certificate, the package associated with the gift certificate will show up in the redeemer's packages list. You will then be able to use it to pay for patient invoices, just like regular packages (for more information, refer to this lesson). There are 2 ways to redeem a gift certificate:
- From the patient profile.
- From the gift certificate page.
From the patient profile
This method requires that you know the Redemption code of the gift certificate. This can be given to you by the patient and you can find it on the gift certificate page:
Once you have the Redemption code, navigate to the patient profile (the redeemer) and then click on Billing > Packages & memberships > Gift certificates:
Click on Redeem a gift certificate, enter the Redemption code, and then click Redeem.
From the gift certificate page
From the gift certificate page, click on Redeem gift certificate:
In the popup form, select the patient (the redeemer) and then click Redeem.
